Deposits, payment links and no-shows: a practical guide for agencies

Booking or security deposit, card hold or cash, payment links by e-mail, SMS or WhatsApp, a fair cancellation policy and a calm way to handle no-shows.

A hand holds a blank white bank card above a payment terminal on a bright orange table, with a small plant in the corner.

Ask an agency owner about their worst week and you often hear the same story: a car held for a customer who never came, or a damage claim nobody could collect. Both come from the same gap: nothing was paid or secured in advance. This guide separates the two kinds of deposit, compares card holds with cash, and shows how to handle no-shows without losing good customers.

Why bookings without a deposit fail

A booking with nothing at stake costs the customer nothing to drop. Some will book three agencies and keep the cheapest. Some will simply not turn up. Meanwhile the car sits idle on days it could have been rented, and you turn away walk-in customers to protect a reservation that was never real. None of this means customers are dishonest: it is simply what happens when a promise is free.

The second failure comes later: without a deposit, a damaged car, an empty fuel tank or an unpaid fine becomes a negotiation after the customer has left.

Two different deposits: the booking deposit and the security deposit

They solve different problems, and mixing them up confuses customers.

  • Booking deposit (prepayment): a part of the rental, or one day, paid when the customer books. It confirms the booking and is deducted from the final bill.
  • Security deposit: a guarantee held during the rental to cover damage, fuel, fines or a late return. It is released after the car is checked.

Set the security deposit in line with your insurance excess and the value of the car, and lower it when the customer takes a protection option. The figures below are illustrative guidance only:

Card hold or cash: choose with your eyes open

A card pre-authorisation reserves the amount on the customer’s card without charging it, then releases it afterwards. There is no cash to count and no refund trip, and it can be arranged before arrival. The limits are practical: it depends on the card, your payment provider and the country, and the customer’s available balance is reduced during the hold. Ask your provider whether holds are available for your cards.

Cash is familiar and works for everyone, but it needs care: count it with the customer, give a receipt, keep it in a safe, and refund it quickly and in full. Whichever you choose, write the method and the amount in the contract and offer an alternative to customers who cannot use the first. Tell customers which method applies before they travel: a surprise hold at the counter is the first argument you do not need.

Send a payment link instead of chasing payments

A payment link lets a customer pay the booking deposit from a phone in a minute. You send it by e-mail, SMS or WhatsApp, and the booking is confirmed when the payment arrives. Name your agency, the dates and the amount in the message so that the customer recognises it as genuine, and put a time limit on the link, for example 24 hours, so an unpaid booking releases the car.

Never ask a customer to send card numbers, card photos or security codes in a chat or on the phone. They should be entered only on the secure page of a payment gateway such as Stripe, PayPal, or a local one like Konnect, ClicToPay or Paymee.

A cancellation policy that is fair and written down

A fair policy is simple enough to say in one breath. For example (illustrative): free cancellation up to 72 hours before pick-up; half of the booking deposit kept between 72 and 24 hours; the whole deposit kept for later cancellations and no-shows. In peak weeks you can extend the free window to 7 days. Publish it at booking, repeat it in the confirmation, and apply it the same way to everyone.

Keep some discretion for real emergencies, such as a cancelled flight or an illness, but record each exception so that customers see consistency. Make cancelling easy, too: a customer who can cancel with one message will cancel early instead of disappearing.

Remind customers, and handle no-shows calmly

Send a confirmation immediately, then a reminder 48 to 72 hours before pick-up with the address, opening hours, the documents to bring (licence, ID or passport, bank card), the deposit amount and the meeting point. For airport pick-ups, ask for the flight number and arrival time in that message. Ask the customer to reply to confirm: silence is information too.

Decide your grace period in advance, for example two hours after the planned time or after the flight lands. Call and message the customer, note each attempt, then release the car and apply your policy. Being late is not a no-show: treat the two differently, and require full prepayment from a customer who has already failed to show up once.

Put it into practice

Pick2Rent supports online payments and deposits, with payment links you can send by e-mail, SMS or WhatsApp, and gateways such as Stripe, PayPal and local ones. See the features or how it works.

  • A booking deposit confirms every booking.
  • A security deposit, sized to your insurance excess, covers the rental.
  • The deposit method and amount are written in the contract.
  • Payment links expire, and card details never travel through chats.
  • The cancellation policy is published, repeated and applied equally.
  • Reminders go out, and the grace period is decided in advance.
